Here at ESAB we take your privacy seriously and promise to keep your details secure. This policy explains how we use your personal information and the reasons for keeping it, as well as your rights under the new General Data Protection Regulations.

How do we collect information from you?
We obtain information about you when you use our website, when you contact us about membership and services, if you make a donation, attend an event or if you register to receive our newsletters.

What type of information is collected from you?
The personal information we collect might include your name, address, email address, IP address, telephone number and information regarding what website pages are accessed and when.

If you make a donation via Virgin Money Giving, your card information is not held by us, it is collected by our third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions.

How is your information used?

We may use your information to:

  • Process and administer your membership request
  • Process your subscription or a donation that you have made;
  • Seek your views or comments on the services we provide;
  • Notify you of changes to our services;
  • Send you communications which you have requested and that may be of interest to you. These may include information about Blind and partially sighted activities, campaigns, appeals, other fundraising activities
  • Process a job/volunteer application.
  • We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example the collection of Gift Aid).

We will hold your personal information on our systems for as long as you retain your membership with us, or as long as our business relationship continues.

Who has access to your information?
We will not sell or rent your information to third parties, or share your information with third parties for marketing purposes.

We may pass your information to our third party service providers and other associated organisations for the purposes of completing tasks and providing services to you on your behalf.

However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have agreements in place that require them to keep your information secure and not to use it for their own direct marketing purposes.

We work closely with trusted partners to provide you with the services you have requested, including East Sussex County Council, Brighton & Hove City Council and the RNIB.

These partners will use your details to provide you with information. In some cases, they will be acting as a data controller of your information and therefore we advise you to read their Privacy Policy.

When you are using our secure online payment pages, your payment is processed by a third party who specialises in the secure online capture and processing of credit/debit card transactions. If you have any questions regarding secure transactions, please contact us.

 

Retention of your data
We will only retain your personal data under the following circumstances:

  • Whilst we are providing services to you (services include membership of any of our social groups)
  • Whilst you are receiving our newsletter
  • Whilst you are a volunteer for us
  • Whilst you are employed by us (Statutory employment requirements will apply to employees of ESAB)
  • If we are required to do so in relation to donations and gift aid contributions

We will check with you on a regular basis that you are happy for us to retain your personal information, no less than once every three years.

We operate a system of non-active members and supporters, these are people who have been involved with ESAB at some time in the past but are no longer either receiving services or support. If we have not had any communication with you for any reason we will mark your file as ‘non-active’ and hold the date for a maximum of two years and then delete it. We have set a deadline of two years as this allows you to re- engage with us before we delete your data.

Your choices
You have a choice about whether or not you wish to receive information from us. If you wish to receive newsletters and other communications from us about your membership and our services, we will be relying on you giving us consent about how and why we contact you.

You will be asked to select your choices on the form on which we collect your information. You can withdraw this consent at any time either by contacting us directly at Head Office or by emailing info@eastsussexblind.org

We will not contact you for marketing purposes by email, phone or text message unless you have given your prior consent. We will not contact you for marketing purposes by post if you have indicated that you do not wish to be contacted.

Your rights
The accuracy of your information is important to us. You have the ability to update your contact information directly through our Head Office. You have the right to ask for a copy of the information we hold about you.

You have the right to ask us for the data we hold about you to be erased.
You have the right to ask us to restrict the processing of your personal data for a period of time
You have the right to object to the processing of your data if it is being processed based on legitimate interests or the performance of a task in the public interest/exercise of official authority (including profiling)
The communication is direct marketing (including profiling)
It is being processed for purposes of scientific/historical research and statistics.
You have the right to data portability, which allows you to obtain and reuse your personal data for your own purposes across different services.

Our security precautions
When you give us personal information, we take steps to ensure that it’s treated securely. Any sensitive information is either encrypted or password protected..

Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.

Use of ‘cookies’
Like many other websites, the ESAB website uses cookies. ‘Cookies’ are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit.

They collect statistical data about your browsing actions and patterns and do not identify you as an individual. This helps us to improve our website and deliver a better more personalised service.
